Limburg.net moves all phone calls to the cloud thanks to their future-proof VoIP system

Aside from managing recycling parks and collecting garbage from people's homes, Limburg.net also has a customer service department, where citizens can get in-depth answers to their questions. For this, they used to rely on an analog telephone exchange, but nowadays there are far more efficient solutions. So, in order to replace their outdated infrastructure, we built a modern, flexible system based on Microsoft Teams and TendFor. The search for flexible telephony

Limburg.net is the intermunicipal waste organization of the 43 towns in the province of Limburg and of the Flemish-Brabantian town Diest. When the corona pandemic broke out in 2020, the regional entity for waste management had already issued a tender for a revamp of their telephone system. But, because working from home was impossible with the old system and the urgency for this feature was higher than expected, they were forced to extend their original plan.

“My colleague Martine and I had been focused on this tender for quite a while”, says Ilse Luypaerts, Communications Manager at Limburg.net. “We were not only looking for a modern application to replace our outdated system, it also had to fit well with our organization.” So, they did extensive research into the systems that were available in the current market and found their way to us. The original specifications were still based on a rather classic setup. But, thanks to our experience, we knew that it was not the most ideal solution for the future. There were far better solutions on the market that also comply with the standards and requirements for public institutions.

We immediately had a good feeling with Arxus. ZThey were transparent about what they could offer us, what could be added in the future, and why they recommended their proposal. They were also bold enough to challenge us and suggested going beyond the original tender.

Calling in the cloud with Microsoft Teams

The phone system at Limburg.net receives and processes about 200 calls on an average day. That number tends to stay fairly stable, but can spike at certain times. There are usually more calls in December, for example, because that's when citizens are expecting their new waste collection calendar. Or whenever they send out a letter or press release, for example, the phone at Limburg.net sometimes gets flooded with calls.

To make their telecommunications as efficient as possible, we built a new system based on TendFor software and Microsoft Teams. Previously, customer service employees had to switch cables in the basement whenever they changed desks, now they only need their cloud application and a headset. Today, they can do their job from anywhere without hassle, with one simple click. And, from now on, employees can also work seamlessly from home. All the analog phones have since disappeared, except for a lone backup device.

“The new calling solution gives us a lot more flexibility. With the old system, it sometimes took us up to 6 weeks to change our welcome message. Now, that can be done instantly”, Ilse says. “Especially during peak hours, quick adjustments like this allow us to avoid loads of non-urgent calls, greatly reducing the workload of our phone operators.”But the migration to the cloud hasn't just enabled remote work; it's also generated a substantial financial benefit, Ilse adds: “By switching to Microsoft Teams, we now save € 40.000 a year.”

Support during the switch

The day we launched the new system, we had an expert on site to quickly resolve questions or problems, as always. Because of this, the cutover was completed without any major issues.

But in order to really embed the new system into their organization, the employees at Limburg.net also needed to change their mindset. Most of them only used Microsoft Teams sporadically, and had gotten really attached to their analog phones. So, to make the transition as smooth as possible, they decided to provide the necessary training.

“We obviously needed to invest in proper training, to teach our employees how to work with the new technology", Ilse explains. "In a previous pilot project, we also experienced quite a lot of resistance, because our employees didn't understand why the change was necessary, and mistakenly thought we wanted to monitor them through their computer.”

That’s why we asked LEARNIA, one of our associates within De Cronos Groep, to take care of the end-user trainings and to facilitate the switch. Afterwards, each training was also filmed, so the info would always be readily available when needed.

Continuing the growth and innovation together

The telephony project for Limburg.net went incredibly smoothly and is now completely wrapped up. But if it were up to Ilse, there would soon come a sequel to our cooperation: "We're still doing several other projects with Arxus for other departments, but we are definitely looking forward to a follow-up project for our telephone exchange. We would, for example, still like to integrate our CRM system. And in the future, it would be nice to be able to check and answer messages from WhatsApp or Messenger via our new system."
